Copilot for Microsoft 365: from add-on licence to sparring partner.
What Copilot really does in Word, Outlook, Excel, PowerPoint and Teams, which prerequisites need to be in place first, and how to roll it out in six steps. With 30+ ready-to-use prompts, so the tool speeds your work up instead of slowing it down.

What is Copilot for Microsoft 365?
Copilot for Microsoft 365 is an AI assistant that understands, summarizes and drafts content. It draws on Microsoft Graph, the network of emails, calendar entries, chats and files that already exists in your Microsoft 365 environment. The key point: Copilot only ever shows a person what that person is already allowed to access. It neither bypasses nor extends existing permissions.
Copilot is not a separate program. It works inside the apps your team already uses every day. Introduced properly, it changes three things noticeably:
Time back from routine work
Meeting minutes, email drafts, first-pass slides. That frees capacity for the actual core business.
Better grounds for decisions
Draft texts, alternative phrasings and analyses built from your existing company data, in minutes rather than hours.
Faster decision readiness
Copilot summarizes content, extracts tasks and builds to-do lists, so projects move forward faster.
The difference to a chatbot
A general chatbot knows nothing about your company unless you explain it every single time. Copilot already knows your mails, meetings and files, within what each person is allowed to see, so it never starts from zero.
How Copilot becomes a sparring partner, not a drag.
The most common source of disappointment is not the tool but the way it is used: treat Copilot like a search engine and you get search-engine answers. Work like an architect, setting context, refining in rounds, demanding pushback, and you get a sparring partner. Four principles from consulting practice:
1. Context first, task second
Audience, purpose, target length and tone belong in the first sentence, not in the third revision round. The tighter the frame, the less rework.
Prompt to copy
You support the management of a Swiss SME with 40 employees. Draft a reply to the highlighted customer email: binding in tone, 10 sentences maximum, with one concrete meeting proposal.
2. Work in rounds, not in one shot
Rough draft first, then targeted refinement: shorten, restructure, adjust tone. Three short rounds beat one perfect first prompt almost every time.

Cut the draft to half its length, keep all figures and the meeting proposal, and make the opening more direct.
3. Demand pushback
A sparring partner does not nod everything through. Let Copilot attack your own work before a customer or the board does.

4. Review stays a human job
Copilot delivers drafts, not approved final versions. Responsibility for the content always sits with the person who signs off or hits send. Saying this clearly from day one prevents both blind trust and unnecessary fear.

Teams
Minutes and action items in minutes
With transcription enabled for a meeting, Copilot afterwards produces a structured summary with the key points and suggested tasks (Intelligent Recap). Outside meetings, Copilot also summarizes chats and channels, by default covering the last 30 days.
Limitation: In chat summaries Copilot cannot evaluate images, files or Loop components, only the text thread itself.
Practice tip: Switch transcription on before the meeting starts, post the summary in the channel afterwards, and move open items into your task tool.

Outlook
Inbox, threads, reply drafts
Copilot summarizes long email threads, turns a short instruction into a complete reply draft, and coaches drafts of 100 characters or more on tone, impact and clarity.
Limitation: All Outlook features require the mailbox to sit in Exchange Online. They do not work with on-premises or hybrid mailboxes, which is the single most common reason for "Copilot does not work here".
Practice tip: Summarize first: with a 20-mail thread condensed to 5 sentences in front of you, the reply writes twice as fast.

- Draft a friendly but firm payment reminder for the overdue invoice in this thread.
- Review my draft: does it sound committed? Where am I unclear or too long?
- Draft a decline for this request, appreciative, with one alternative suggestion.
Word
Drafts that never start from zero
The Word agent turns a plain-language description into a complete document draft, asking clarifying questions first, rewrites existing text, converts it into tables, and summarizes long documents. In Copilot chat you can question a document instead of reading it end to end.
Practice tip: Put audience, length and purpose into the very first instruction, not into round two.
Example prompts
- Draft a proposal for a website renewal: the client is a carpentry business with 12 employees, 2 pages, businesslike tone.
- Summarize this 30-page concept on one page for the management team.
- Convert this bullet list into a table with the columns measure, owner, deadline.
- Which obligations do we take on under this draft contract? List them with their location in the text.
PowerPoint
From text to presentation
The PowerPoint agent builds a first slide structure from a description or an existing Word document, including outline and layout suggestions, and asks about audience and purpose first. It also condenses existing decks, for instance into a management summary.
Practice tip: Start from your own company template rather than a generic one. The first draft then lands visually much closer to the goal.
Example prompts
- Build a presentation of at most 8 slides for the board from this Word concept.
- Condense this 40-slide deck into 5 core statements.
- Suggest a clearer structure for slide 3: one core message, 4 bullets maximum.
Excel
Analysis on demand
Copilot answers plain-language questions about your own data: trends, outliers, cost drivers. It highlights, sorts and filters on request, builds new formulas from a description and explains existing formulas in plain words.
Limitation: Pattern detection is a starting point for your own review, not a final verdict.
Practice tip: Clean column headers are half the job. The clearer the table, the more precise the analysis.

- Highlight every row where the margin is below 15 percent.
- Explain this formula in simple words, and tell me what it overlooks.
- Build a formula that totals revenue per customer and quarter.

Management
- Summarize the most important developments from my mails and meetings this week, grouped by customer, team and finances.
- I am meeting [company] tomorrow. Compile what has recently happened with this company from mails, meetings and files.
- Name the three biggest risks in this project report, and what I can do about them this week.
- Draft a short staff update on [decision]: honest, no filler phrases, 8 sentences maximum.
Sales and account management
- Turn the notes in this document into a proposal outline with a pricing block and three references.
- What has this customer asked for in the past three months, and what is still open?
- Draft a follow-up email on the proposal from [date]: friendly, concrete, with one clear next step.
- Compare the requirements in this tender with our service description and list the gaps.
Administration and back office
- Turn the meeting transcript into brief minutes: decisions, tasks, deadlines, one sentence each.
- Draft an appointment confirmation with address, directions and the documents the person should bring.
- Summarize the complaints in this mailbox folder from the last 30 days, grouped by topic.
- Convert this dictated note into a clean file note in our usual format.
Finance and fiduciary
- What stands out in this accounts receivable list? Group by age of claim and amount.
- Explain the variance between budget and actuals in this table in five sentences for the management team.
- Draft a query to the client about the missing receipts, matter-of-fact and with a deadline.
- Build a quarterly overview from these figures: revenue, margin, open items, one row each.
Who Copilot is right for, and who should wait.
Copilot pays off when
- large volumes of documents, emails, meetings or Excel analyses come up regularly,
- Teams, SharePoint and OneDrive are already in daily use,
- collaboration runs across several locations or between office and home office,
- decisions frequently rely on information scattered across systems.
Do the homework first when
- the file storage has grown unstructured or wildly inconsistent,
- cloud use is ruled out in the company as a matter of principle,
- there is currently no capacity for training and change support.
If it is unclear which list your company belongs to, an honest conversation about exactly that is worth having before any licences are bought.
Why not just use ChatGPT or Perplexity?
General AI tools like ChatGPT, Claude or Perplexity are powerful. For daily SME work, however, Copilot solves a different problem: the connection to what already exists inside your company.

Not an either-or: many teams use both. A general tool for open brainstorming and research, Copilot for everything that touches their own documents and their own communication.
Prerequisites: five must-haves, three strong recommendations.
For Copilot to run reliably and safely, certain technical and organizational foundations need to be in place. Five are mandatory, three are strongly recommended.

The most common mistake: pushing the permissions review to the end. Copilot exposes existing disorder in access rights, it does not cause it. Reviewing before the broad rollout saves rework under time pressure.
The 6 rollout steps.
A solid rollout takes no shortcuts. Six steps that have proven themselves in practice:

Define the target picture and pilot scenarios
Clarify in a short workshop where Copilot should concretely help. Two or three clear use cases are enough to start, for example proposal drafts, meeting minutes or email summaries. More dilutes the pilot.

Check the prerequisites
Walk through the table above: licences, mailboxes, permission structure, labels. The result is an honest list of open items, not yet their solution.

Fix the findings
Clean up permissions, introduce or sharpen sensitivity labels, close technical gaps. Only then broaden access to company data.

Start the pilot team
Activate Copilot for a small, representative team, with short training on the pilot scenarios from step 1. Capture the experience in writing, not just in conversation.
- 05
Roll out in stages
Evaluate the pilot feedback, adapt the training, then extend team by team. Name internal go-to people who answer everyday questions.
- 06
Keep developing usage
Review new features, repeat trainings, fold new employees into onboarding, and keep the network of go-to people active.
Each step builds on the previous one. Skipping steps 2 and 3 only shifts the clean-up to later, usually under more time pressure.
Data protection, security, data residency.
Copilot respects the existing security and privacy controls of your Microsoft 365 environment. It only accesses data a person is already authorized for, and it is bound by the same principles as the rest of your environment:
- Access: Copilot only shows content a person already holds permissions for. Confidential material does not become visible by accident.
- Data Loss Prevention: policies keep Copilot from using files classified as sensitive in its answers.
- Sensitivity labels: documents created by Copilot inherit the label of their source, so the protection level is not lost.
- eDiscovery: Copilot-related content can be searched, retained and produced for legal reviews.
- Audit trail: prompts and responses are captured in the central audit log and remain traceable.
- Identity: Copilot is built on Entra ID and follows the zero-trust principle of re-verifying every access.
On data residency: for Swiss tenants, the content of Copilot prompts and responses is stored in the assigned data region; Switzerland is among the countries covered by this storage commitment. Organizations that need a contractually binding country-level guarantee can add the paid Advanced Data Residency option.
Human review remains mandatory
Responsibility for content always sits with the person who approves or sends a document. Copilot delivers a draft, not an approved final version.
