"The AI classification takes a large part of the document work off my plate. I save 10 to 15 hours every week, and my clients submit cleaner documentation."

Background

Laura Hähni, running a small administrative services agency, found herself working 60+ hour weeks. A large chunk of her week was lost on receipt management: chasing clients for missing receipts, downloading PDFs from emails, and sorting random photos sent via WhatsApp.

She agreed to beta-test our AI-assisted document classification pipeline to regain control of her weekends.

Challenge

Fragmented Channels: Client documents arrived in different formats across email, WhatsApp, and physical scans, creating a chaotic inbox.

Chasing Missing Data: Countless hours were wasted following up with clients for missing metadata, correct invoicing dates, or blurred receipt photos.

Sorting Overhead: Laura had to manually inspect, rename, categorize, and prepare every single document for the accounting handover.

Solution

We built a central intake pipeline that channels documents into a single processing dashboard. Clients can now upload receipts directly or send them via a dedicated email/WhatsApp gateway.

Once received, our AI pipeline instantly processes the document, extracts key text via ChatGPT, and classifies it. Instead of hours of manual sorting, Laura now spends just 10 minutes checking the dashboard on Monday morning to review anomalies. This has reduced her weekly manual document sorting time by 10 to 15 hours: *"The AI classification takes a large part of the document work off my plate. I save 10 to 15 hours every week, and my clients submit cleaner documentation."*
